Booking and Payment
We require a 50% deposit to hold your booking. Deposits are non-refundable accept in extenuating circumstances at the discretion of the hosts. We accept payment via bank transfer.

Balance payment must be made prior to leaving Willowbank at the end of your retreat.

Cancellation and Refunds
If you need to cancel your place, please do so as soon as possible. Cancellations made 4 weeks or more before the retreat will receive a full refund minus the deposit. The deposit can be switched and held against a future retreat.
Cancellations made within 27 days of the retreat start date are non-refundable and you will be offered to switch your place to a future retreat.

In the event that a customer is not entirely satisfied with the retreat, they may request a partial refund within seven days of the retreat's conclusion. Requests submitted after this period shall not be entertained.

Shared Room Booking Policy
When booking a shared room, both guests are jointly responsible for the total cost of the room. If one guest is no longer able to attend, the remaining guest can find someone to take over the shared booking or change to solo occupancy.

Cancellation by Us
We reserve the right to cancel the retreat in the following circumstances:
Insufficient Participants: If the minimum number of participants required to run the retreat is not met.
Force Majeure: Circumstances beyond our reasonable control, including but not limited to natural disasters (e.g., wildfires, floods), pandemics, civil unrest, extreme weather events, or government-imposed travel restrictions.
Other Reasons: In rare cases, we may need to cancel the retreat due to unforeseen circumstances such as staff illness or venue-related issues.
If we cancel the retreat:
We will notify you as soon as possible.
You will be offered a full refund of all payments made for the retreat.
Alternatively, you may choose to transfer your payment to a future retreat, subject to availability.
Please note: We cannot be held liable for any additional expenses, such as travel costs in the event of us cancelling the retreat.

Participant Responsibilities
Participants are responsible for booking and funding their own travel to and from the retreat location.
Participants must inform the organisers of any medical conditions, allergies, or dietary restrictions prior to the retreat.
Participants are expected to adhere to the schedule and guidelines provided by the retreat organisers.
Any damage to property caused by participants will be the responsibility of the individual(s) involved.

Health and Safety
Participants are required to comply with all health and safety measures implemented by the retreat organisers.
The retreat organisers are not liable for any injuries, illnesses, or accidents that occur during the retreat, except where caused by negligence on our part.

Changes to Itinerary
The retreat organisers reserve the right to make changes to the itinerary, activities, or accommodations due to unforeseen circumstances or factors beyond our control.
Participants will be notified of any significant changes to the retreat schedule as soon as possible.

Liability Waiver
Participants acknowledge and accept any inherent risks associated with participating in the retreat activities.
The retreat organisers, including their employees, agents, and affiliates, shall not be held liable for any loss, injury, damage, or expense incurred during the retreat, except where caused by our negligence.

Photography and Media
Participants must consent to the use of their likeness in photographs, videos, or promotional materials related to the retreat.
Any photographs or videos taken during the retreat may be used for promotional purposes by the organisers.

Privacy Policy
Participant information collected during the registration process will be used solely for the purpose of organising and administering the retreat.
We are committed to protecting the privacy of our participants and will not disclose personal information to third parties without consent, except as required by law.

Governing Law
These terms and conditions shall be governed by and construed in accordance with the laws of the United Kingdom.
Any disputes arising from or related to the retreat shall be resolved through arbitration in England in accordance with the rules of the Central Arbitration Committee.
We reserve the right to amend these Terms and Conditions from time to time. Any changes will be posted on our website.
By registering for the retreat, participants acknowledge that they have read, understood, and agreed to abide by these terms and conditions.
